Administrative Assistant

  • We are seeking a dynamic and highly organized Administrative Assistant to join our team and support our daily operations with enthusiasm and professionalism.   • ·        Serve as the first point of contact at the front desk, greeting visitors and clients with a friendly and professional demeanor.

    ·        Manage phone systems, screen calls efficiently, and direct inquiries to appropriate team members.

    ·        Handle all aspects of office management including filing, data entry, proofreading documents, and maintaining organized records.

    ·        Use Microsoft Office 365 for creating, editing, and collaborating on documents.

    ·        Support calendar management by scheduling appointments, meetings, and conference rooms while coordinating with team members’ schedules.

    ·        Perform bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing, expense tracking, and basic financial record keeping.

    ·        Provide excellent customer support by responding promptly to inquiries via phone or email and ensuring client needs are met efficiently.

    ·        Maintain office supplies inventory and coordinate procurement to ensure smooth daily operations.

    ·        Assist with clerical duties such as proofreading correspondence, preparing reports, and managing incoming/outgoing mail.

    ·        Support special projects including data entry initiatives or event planning activities as needed.

    ·        Demonstrate strong phone etiquette when communicating with clients, vendors, or internal staff.

    ·        Uphold confidentiality of sensitive information while managing administrative tasks with precision and accuracy.

  • ·        Proven experience as an Administrative Assistant or in a similar clerical or office support role.

    ·        Exhibited strong proficiency in Microsoft Office 365 (Word, Excel, PowerPoint), and foundational computer literacy.

    ·        Prior experience managing phone systems and front desk responsibilities in a professional setting.

    ·        Familiarity with QuickBooks or other bookkeeping software is highly desirable.

    ·        Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.

    ·        Excellent communication skills, including phone etiquette and customer service excellence.

    ·        Experience supporting calendar management for executives or teams is preferred.

    ·        Knowledge of office procedures such as filing systems, data entry protocols, proofreading practices, and document management.
